Most small teams don't need enterprise software to run projects. They need to know who is doing what by when and, on building sites, where the latest drawing is. The right project management software depends more on the shape of your work than on a feature list.

Project management software free: what the limits usually are

Many tools offer a free tier, and project management software free of charge is a reasonable way to find out whether your team will actually use it. The usual trade-offs are caps on users or projects, limited reporting, and no advanced views such as Gantt charts or workload planning. The best project management software for a small team is rarely the one with the most features; it is the one people open every morning. If a tool needs a training day before anyone can use it, it is probably too big.

Project management software for construction

Building projects have problems that generic task boards don't solve. When comparing tools for construction, look for:

  • Drawing and document control. One current version of each drawing, with a revision history, available on site
  • Snagging and defects. Photos tied to a location or drawing, with an owner and a close-out date
  • Programme and look-ahead planning. A Gantt-style programme where delays flow through to dependent tasks
  • Requests for information. A dated log of who asked, who answered and what was decided
  • A site app that works with poor signal. Photos, notes and sign-offs captured offline
  • Health and safety records. Under the Construction (Design and Management) Regulations 2015, projects need a construction phase plan, and keeping method statements and inspection records with the project saves hunting for them later

Payments to subcontractors under the Construction Industry Scheme (CIS) are a separate matter. Contractors deduct tax and report to HMRC monthly, and that normally lives in your accounting or payroll software rather than the project tool. Choosing without overbuying

  1. Write down the three jobs the tool must do, such as assigning tasks, tracking deadlines and sharing files.
  2. Trial it on a live project, not a dummy one.
  3. Price it at your team size now and at double that, since per-user costs add up.
  4. Check that you can export your data if you move.
